Secretary General

Embark on an exceptional adventure with Software Heritage, a visionary initiative led by Inria, in partnership with UNESCO. Created seven years ago, Software Heritage has an ambitious mission: to build a universal archive of software source code. By positioning itself as the Alexandria Library of software and a pioneering tool for exploring the evolution of software development, it meets the needs of research, industry and society as a whole. Supported by over 20 sponsors and partners, including Intel, Microsoft, Société Générale, CEA, prestigious universities and public bodies, Software Heritage is committed to preserving and making accessible our software heritage.

Currently made up of a dozen people dedicated to the mission, the Software Heritage team is expanding rapidly. While the majority of support services are currently provided by Inria and the Inria Foundation as our host foundation, Software Heritage has undertaken to become an autonomous organization with its own integrated services. To accomplish this transition, we are now looking for a General Secretary to oversee the administrative and financial management of Software Heritage, coordinate with current project leaders and support management in building the new structure.

This role, which will evolve as the organization grows, will be at the heart of exciting transformations, and represents a unique opportunity to contribute to a revolutionary project for the preservation of humanity’s software heritage.

Mission

Reporting directly to the CEO, you will be responsible for the financial, accounting and administrative management of Software Heritage. You will also ensure compliance with Software Heritage’s statutory and contractual obligations.

You will play a key role in supporting the structural evolution of the organization. As part of the management team, and in close collaboration with the CEO, you will play an active role in building the new structure, in coordination with the current key partners (Inria, Inria Foundation, UNESCO). Your contribution will be crucial in shaping the various processes (in-house or to be outsourced), management systems and partnership relationships as Software Heritage evolves into an independent entity.

This position requires a high degree of autonomy, adaptability and flexibility in a complex, multi-institutional and evolving environment, as well as a keen sense of organization and creativity. You will be required to support the CEO in making strategic decisions, while actively contributing to the achievement of Software Heritage‘s objectives.

1 – Main responsibilities

1.1 – Finance and accounting

  • Support for the CEO in drawing up Software Heritage’s budget; preparation of multi-year projections;

  • Management and monitoring of the organization’s budget, alerting management to sensitive points: monitoring of cash flow and cash flow forecasts, production of reports and dashboards to support management in steering its activities;

  • Consolidation of annual accounts, in interaction with Inria and the Inria Foundation, monitoring of outsourced accounting;

  • Financial risk management and regulatory compliance ;

  • Maintaining relations with banks, auditors and partners.

1.2 – Human resources administration and management

  • Setting up projects and funding applications, in interaction with team members;

  • Setting up and monitoring contracts ;

  • Administrative follow-up of personnel and supervision of payroll (outsourced within the framework of the sheltered foundation);

  • Organization of management meetings ;

  • Development and implementation of internal procedures ;

  • Management of purchasing, assignments and supplier relations;

  • Setting up and maintaining an inventory ;

1.3 – Profile required

  • You have significant experience in accounting/finance.

  • You have already held an administrative and financial management position.

  • Degree in management, finance, business administration or similar field;

  • Legal knowledge desirable,

  • Excellent written and verbal communication skills in French and English

  • Proficiency in computer tools and financial management software

  • Rigorous, autonomous and highly organized

  • Ability to manage priorities in a complex context (different institutional frameworks to be fed)

  • Ability to delegate, critical thinking and synthesis.

  • Ability to work in a team and adapt to a changing environment

Working conditions

You will be recruited on a permanent contract by the Inria Foundation, which hosts the Software Heritage Foundation, and integrated into the Software Heritage team, whose offices are located within the Inria center in Paris. The current premises are at 2, Rue Simone Iff, in Paris, and a move is planned to fully renovated premises in Rue Barrault, Paris, during 2024.
